1. Who we are
BacklinkGenie (“BacklinkGenie”, “we”, “us”) provides an AI outreach service at backlinkgenie.com and app.backlinkgenie.com. For questions about this policy, contact support@backlinkgenie.com.
2. Two kinds of data, two roles
Account data. For data about you as a customer (your email address, billing status, settings and usage), we are the data controller.
Prospect data. To run outreach for you, the service finds and processes publicly available business contact details of website owners, authors and editors (such as names, work email addresses and the pages they published). For this prospect data, you are the controller and we act as your processor, processing it only to provide the service on your instructions.
3. What we collect
- Account information: your email address and sign-in records. We use passwordless sign-in links, so we don't store passwords.
- Site profile: the website you promote and the details you or our agent add to your profile (niche, competitors, audiences, email signature name, writing preferences).
- Outreach content: prospects found for you, drafts, sent emails, replies, follow-ups and placement records.
- Billing information: plan, subscription status and transaction history. Card details are collected and stored by our payment provider, not by us.
- Technical data: IP address, browser type, request logs and security signals, used to keep the service secure and to detect abuse.
4. How we use data
- To provide the service: find relevant sites, verify contacts, draft and send emails you approve (or that autopilot sends on your instruction), process replies and verify placements.
- To set up and operate sending infrastructure on your behalf, including a sending domain and mailbox.
- To review sites and content for compliance with our Acceptable Use Policy, and to prevent fraud, spam and abuse.
- To bill you and send service emails such as sign-in links, daily digests and important account notices.
- To improve reliability and quality of the service using aggregated, de-identified usage information.
We do not sell personal data, and we do not use your outreach content or prospect data to train AI models.
5. Legal bases (EEA/UK)
We process account data to perform our contract with you, to comply with legal obligations, and on the basis of our legitimate interests in securing and improving the service. When processing prospect data for you, you are responsible for having a lawful basis (typically legitimate interest for relevant, low-volume business outreach) and for honouring opt-out requests, which we help you do automatically.
6. Processors we use
We rely on carefully selected service providers who process data on our behalf under contractual safeguards:
- Cloudflare — hosting, databases, storage, networking, DNS, security, and AI models used to analyse sites and draft emails.
- Anthropic — AI models used to analyse sites, draft emails, classify replies and review content.
- Dodo Payments — payment processing; Dodo Payments acts as our merchant of record and processes billing details under its own privacy policy.
- Google — the Google mailboxes used to send and receive outreach on your sending domain.
- Mailpool — sets up and hosts the sending mailboxes and runs the DNS (SPF, DKIM, DMARC) for sending domains.
- treg — data gateway we use for search results, finding and verifying contact email addresses, and reading web pages. It passes requests to providers such as MillionVerifier.
- Ahrefs — Domain Rating data for websites.
- Porkbun and other domain registrars — registering sending domains for you.
7. Opt-outs and prospect rights
Anyone who receives an email sent through BacklinkGenie can reply asking not to be contacted. We add opt-outs to a suppression list shared across all customers, so that person or domain is not contacted again through our service. Prospects may also contact us directly at support@backlinkgenie.com to request access, correction or deletion.
8. Retention
We keep account data while your account is active. After you delete your account, we delete or anonymise your data within 30 days, except where we must keep records (for example billing records) to meet legal obligations, and except suppression-list entries, which we keep so opted-out people stay opted out.
9. Security
Data is encrypted in transit and at rest by our infrastructure providers. Access to production systems is limited and logged. Sign-in links expire quickly and can be used once.
10. International transfers
Our providers may process data outside your country, including in the United States. Where required, transfers are covered by appropriate safeguards such as Standard Contractual Clauses.
11. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, and to object to certain processing. You can export your prospect list, threads and send history at any time. To exercise any right, email support@backlinkgenie.com. You may also complain to your local data protection authority.
12. Cookies
The marketing site uses only what's needed to work, such as remembering your light or dark theme in your browser. The app uses a secure session cookie to keep you signed in. We don't use advertising cookies.
13. Changes
We'll update this page when our practices change and, for material changes, notify customers by email before they take effect.
