Follow-up email planner

Follow up four to seven business days after a cold email, send one or two follow-ups at most, and add something new each time. Enter the day your first email went out and the planner gives you the exact dates, skips weekends, suggests what to say and exports reminders to your calendar.

Gaps count business days from the previous email.

Your sequence

Rules that matter more than the dates

    • Reply in the same thread so the editor sees the original pitch.
    • Stop the moment anyone replies, even with "not now".
    • Each follow-up counts toward your daily sending limit. Plan volume with that in mind.

How long to wait before following up

For cold outreach to editors, bloggers and podcast hosts, four to seven business days is the range most people settle on. Shorter than three days feels pushy; longer than two weeks and they've forgotten the first email. Journalists on a news story are the exception: if your pitch is tied to something happening this week, a follow-up after one or two days is reasonable, and after that the story has moved on.

What to say in each follow-up

    TouchJobExample line
Follow-up 1Add one new reason"One more detail in case it helps: we added a free plan for students last month."
Follow-up 2Make it easy to say no"If it's not a fit, no problem at all. I won't follow up again."
Follow-up 3Usually skip itOnly if there's genuinely new information, like a relaunch or new data.

The follow-up email template has the full wording with a worked example. Follow-ups also eat into what one mailbox can send, so check the outreach volume planner before you scale up, and read the outreach guide for the whole sequence from first pitch to final note.

    Questions people ask

When should you send a follow-up email if you haven't heard back?

For cold outreach, wait four to seven business days after the first email, then send one short follow-up in the same thread. If there's still no answer, a second and final note a week or so later is the limit. Editors and hosts are busy, but three unanswered emails reads as pressure.

How many follow-up emails is too many?

More than two, for cold outreach. One follow-up recovers a meaningful share of replies; a second adds a little; after that you mostly collect spam reports, which hurt your sender reputation for every other email you send. If someone replies "no" or asks you to stop, stop immediately.

What should a follow-up email say?

Something new. Add one fact, a free account, a fresh angle or a correction you noticed, in two or three sentences, and make it easy to say no. "Just bumping this" gives the reader nothing to act on. The planner suggests an angle for each touch.

What day and time is best to send follow-ups?

Tuesday to Thursday mornings in the recipient's time zone tend to be safest, because inboxes are lighter than on Monday and attention is higher than on Friday. Treat this as a tie-breaker, not a rule. Relevance matters far more than send time.

Is anything I enter saved or sent?

No. Dates are calculated in your browser and the calendar file is generated on this page.
